How to Apply by Mail

Step-by-Step:

  • Read and type the barcoded Form DS-82 passport application. Print your TYPED bar-coded application form, this will expedite the processing of your application. Please read the instructions for completing the passport application form carefully as the application will be returned if it is not completed properly.
    Answer every question on the passport application form, also include the social security number (SSN). The application cannot be processed if the SSN or any other information is missing. Incomplete passport applications will be returned.  If you don’t have a Social Security Number, please complete a statement and send it together with your application form.  Click here for the statement.
  • Enclose one recent 2″ x 2″ (5×5 cm) passport size photo (see photo requirements and list of specialized photographers). Attention: for technical reasons no self-printed passport pictures can be accepted by the consulate! See underneath for full details on the format of the photographs to submit.
  • We do not accept credit card payments for passport applications by mail. We only money orders and cashier’s checks/official checks in EURO (in Belgium also known as bankcheque/cheque bancaire) for mail in passport renewals. Cashier’s checks/official checks must be made out to U.S. Embassy Brussels (no endorsements !)Please enclose the check in the amount of €99 along with your application and mail it to:

  • Enclose the old passport. It will be cancelled and returned to you.
  • The passport will be mailed to you by regular mail free of charge.  Please be aware that these envelopes cannot be traced.  The Embassy declines any responsibility for the delivery of passports by mail.
  •  If you prefer to have your passport returned to you via registered mail, you must provide us with one registered (recommandé/aangetekend) stamp  and three “Prior” stamps at the time of your application.
  • The Embassy declines any responsibility for the delivery of passports by registered mail.
  • You also have the option to pick-up the passport in person from the Consular Section during our public hours.

We do not accept personal checks.

Registered Mail

 

If you prefer to have your passport returned to you via registered mail, please provide us with one stamp for marked “recommandé”/”aangetekend” AND three stamps marked  “PRIOR” at the time that you submit your passport application. You also have the option to pick-up the passport in person from the Consular Section during our public hours.

Processing Time

 

Please allow 15 workdays in addition to normal mail time between your home and Brussels.

Photo Requirements

 

  • One unsigned photograph taken within the last six months.
    2×2 inch.(5×5 cm) square, with the image measured from chin to forehead not less than 1″ or more than 1-3/8″.
  • Photos should not be cut.
  • Non-glossy, non-plastic base paper with a white background. The back must not be waxy or have a coating that lessens adhesive.
  • Color; not tinted, with a light background.
  • Full-face with both ears showing; without an obscured hairline.
  • No glasses unless required for medical reasons.  If you must wear eye glasses for medical reasons, you’ll need to obtain and submit a signed statement with your passport application from a medical professional or health practitioner.
  • Normal attire without headgear unless it is a religious observance.
  • Attention: for technical reasons no self-printed passport pictures can be accepted by the consulate!
  • Please note that the Consular Section is unable to use the smaller Belgian identification and passport photos.  Please make sure that the photos you submit meet State Department requirements.

Payment

 

We only accept money orders and cashier’s checks/official checks in EURO (in Belgium also know as bankcheque/cheque bancaire) for mail in passport renewals. Cashier’s checks/official checks must be made out to “U.S. Embassy Brussels” in the amount of €99. We do not accepted endorsed checks.  Please enclose the check along with your application which should be sent to:
